When a company pays an annual software subscription upfront, review the service period before recording the whole payment as the current month’s expense. Identify what the contract provides, when access begins and whether other services are bundled into the price. The cash payment, expense recognition and tax treatment are separate questions.

Read the actual subscription terms
Collect the order, invoice, access dates and cancellation provisions. Distinguish recurring hosted access from implementation work, training, a licence or another deliverable.
Ask the accountant to assess the arrangement under the company’s applicable framework. ACRA’s accounting-standards guide identifies the relevant Singapore reporting frameworks; a generic journal template does not replace that assessment.
Example: even service across twelve months
Assume a simple S$1,200 access subscription provides an even service from October through the following September, with no separate deliverables. A schedule allocating S$100 per service month illustrates the timing question. The appropriate treatment should still be reviewed against the actual agreement, materiality and accounting policy.
If setup work is completed earlier or part of the amount is refundable, do not assume the same schedule answers every component.
Build a subscription register
- Supplier, contracting company and relevant users.
- Invoice, payment and actual service dates.
- Access, setup and other identified components.
- Allocation basis and current-period amount.
- Remaining balance, renewal and cancellation terms.
- Reviewer and supporting documents.
Use the company’s financial year end when preparing the closing schedule. A calendar-year assumption may not match its accounts.
Reconcile invoices, cash and the ledger
Check for duplicate supplier bills, corporate-card payments and automatic renewals. Confirm that staff have not entered the same subscription as both an expense claim and a supplier payment.
Keep foreign-exchange, GST and withholding questions distinct where relevant. An accounting prepayment entry does not settle the tax treatment of an overseas provider.
Review changes instead of repeating the old schedule
Update for cancellations, upgrades, credits and altered service dates. Ask the accountant about balances that no longer represent future services or recoverable amounts.
Retain the final schedule with the contract and year-end entries. The person reviewing next year should be able to trace the remaining balance without recreating the transaction.
Does upfront payment always mean immediate expense?
No. Assess the actual service and applicable accounting treatment.
Does the accounting schedule automatically determine the tax deduction?
No. Review the tax position separately.
