Your Supplier Statement Lists an Invoice Twice: Reconcile Before the Payment Run

Laptop and calculator on a work desk

If a supplier statement lists an invoice twice, reconcile the underlying invoice, ledger and payments before approving the total. A repeated statement line may be a presentation error, a duplicate posting or a genuinely separate charge with a confusing reference. Establish which it is before paying, reversing an expense or accusing the supplier of wrongdoing.

Compare documents at the right level

Match the supplier’s legal identity, invoice reference, issue date, goods or services, amount and currency. Two lines with the same amount are not automatically duplicates. Equally, two slightly different references do not prove there were two purchases.

Example: an invoice appears in two statement sections

The statement shows an invoice in both the opening balance and current-period activity. Your ledger contains one valid payable and no payment yet. Ask the supplier for a reconciliation explaining the statement total. Do not post another expense merely to make your ledger agree with an unexplained balance.

Work through three different duplication risks

Each problem needs a different correction. A supplier credit note may be inappropriate if there was only a display error and the underlying invoice remains valid.

Prepare the reconciliation file

Keep the purchase approval, original invoice, receipt or delivery evidence, supplier statement and ledger detail. Add bank records and payment allocations where money has moved. IRAS’s record-keeping guidance requires proper transaction records and supporting documents; a reconciliation should make the accounting position traceable.

Hold only the disputed amount through an approved process

Escalate the discrepancy to the authorised approver. Explain the undisputed balance and contractual payment position rather than silently stopping every payment. If the disagreement becomes a legal demand, obtain advice on the response and applicable deadlines.

Correct the system and prevent a repeat

After confirming the facts, document the approved entry or payment recovery. Review duplicate-invoice checks using supplier identity, reference and amount together. Keep override decisions visible so staff do not bypass controls by adding punctuation to a reference.

Should we reverse the invoice immediately?

Only after establishing what is duplicated. The original purchase may still be valid.

Can we delete a duplicate posting without retaining evidence?

Keep an audit trail and supporting approval for the correction rather than obscuring the original error.
