If annual return receipts are missing from a secretary handover, check the official filing history before assuming the returns were either completed or omitted. Build an evidence-based list of reporting periods and outcomes.

The aim is to distinguish a filing gap from a record-storage gap, then address the actual issue.
Collect the official history
Review available Bizfile information, submission references, notices and previous correspondence. Ask the outgoing provider for the actual outcomes, not just invoices or a statement that work was handled.
Match each filing to the correct company and financial period. A receipt for another group entity or a rejected attempt does not complete the missing item.
Example: a paid invoice is the only evidence
The company has paid for an annual compliance package, but the folder contains no filing outcome. Request the submission details and verify them through the proper official record. Payment for work and completion of work are different events.
Prepare a period-by-period table
- Company UEN and relevant financial year.
- Applicable filing requirement and deadline.
- Documents and approvals available.
- Submission date, reference and outcome.
- Outstanding official queries or notices.
- Responsible person and next action.
Review ACRA’s annual return requirements for the entity rather than carrying forward assumptions from an old checklist.
Address confirmed omissions promptly
Obtain the missing accounts or corporate records and seek advice on the appropriate filings and responses. A summons or enforcement notice should be reviewed on its own terms.
Do not submit duplicate or contradictory information simply to produce a new receipt. Explain the evidence and select the proper action.
Make future handovers verifiable
Store each official outcome with the final supporting documents and reporting-period index. Record a rejected submission as unresolved until it is properly addressed.
Give directors a clear account of confirmed completions, missing evidence and outstanding work. Avoid one blanket “compliant” label where important facts remain uncertain.
Does a missing PDF prove non-filing?
No. Check the official history.
Does a service invoice prove filing?
No. Obtain and verify the actual outcome.
