The Most Overlooked Tool in Your Business Finances

The Most Overlooked Tool in Your Business Finances: the Chart of Accounts

You open your financial statements, but they don’t tell you much beyond whether you made money or not. Frustrating, right?

I see this all the time with clients. The P&L looks “busy,” yet somehow hides the real story. And nine times out of ten, the culprit is the same: the Chart of Accounts. Get this right, and suddenly the fog clears.

What Is the COA

Think of the Chart of Accounts (COA) as the master list of “buckets” you use to track money. Every invoice you issue, every expense you record, has to land in one of these buckets.

I like to call it your business’s filing cabinet. Dump everything into one drawer and good luck finding what you need. Label things properly, and you can pull out answers in seconds.

Why Most SMEs Get It Wrong

If it’s so important, why do so many businesses mess it up?

When I review a client’s chart of accounts, these are the quick checks I run through:

How a Smart COA Works for You

A smart COA makes life easier in ways you actually feel.

Mini-case:
A 5-person services firm had just two buckets: “Sales” and “Expenses.” They felt margins were shrinking but couldn’t prove it.
We redesigned their COA: split income into Retainers vs Projects, and broke expenses into People, Marketing, Ops, Software. Contractors moved into COGS.
Result? Retainers were consistently at 65–70% gross margin. Projects swung wildly between 20–50%. That one change pushed them to prioritise retainer work — and profits followed.

Quick Wins You Can Gain Immediately (No Accounting Degree Needed)

What If Your Current COA Isn’t Ideal?

Most SMEs inherit their COA from their accountant or software. Nobody talks about it again. If that’s you, here’s how to fix it without breaking things:

Local tip: Split GST-claimable vs non-claimable expenses. If you have exempt supplies, don’t bury them — track them separately so your GST stays clean.

Closing Takeaway

The Chart of Accounts may not sound exciting. But it’s the most overlooked tool in your finances. Don’t settle for the default template your accountant set up years ago.

Shape it around your business, your questions, your decisions. Get this right, and every report becomes sharper.

👉 If your reports feel fuzzy, don’t buy new software. Fix your COA first.

Pick three decisions you make every month. Then make sure your accounts reflect those decisions.

And if you’re curious, reply with your top 20 expense lines. I’ll suggest three merges and two must-add accounts you can implement this week.
