A Customer Requests a Backdated Invoice After Month End: Preserve the Actual Dates

A backdated invoice request should trigger a review of the real transaction and document history. Keep the actual issue date accurate and show the service or delivery period separately where relevant. Do not create a false earlier invoice simply to fit the customer’s purchase order or month-end cut-off.

Find out which date the customer needs

Ask whether the request concerns the supply date, a purchase-order date, an existing invoice correction or a document being issued for the first time. Obtain the order, delivery or service evidence, payment history and any earlier invoice. A copy of a genuine earlier invoice is different from creating a new one with an invented history.

For example, consulting work ends on 28 September and the invoice is first issued on 3 October. Describe the actual September service period while preserving the real document date. Ask the accountant to review the cut-off rather than changing the issue date to make the question disappear.

Check GST timing independently

IRAS’s invoicing guidance includes the date of issue among required tax-invoice particulars. It generally requires a tax invoice for standard-rated supplies to a GST-registered customer within 30 days of the time of supply. The time-of-supply analysis needs its own review.

Do not infer the GST reporting period solely from the month typed on an invoice. Give the tax adviser the actual invoice and payment chronology, including any earlier billing document, so the applicable tax point and correction process can be assessed.

Use a correction trail instead of overwriting history

If an existing invoice is wrong, identify the error and have the appropriate correction prepared. Keep the original, correction reason, approval and replacement or credit-note relationship. Do not delete a sent invoice merely because the customer wants a different date.

Our company name and UEN invoice checklist addresses other document particulars. An accurate date does not cure an invoice issued by the wrong company, and changing the company name is not a solution to a cut-off problem.

Reconcile the three records

Where electronic invoice data is transmitted, check the effect of any correction in the actual system. Our InvoiceNow implementation guide provides context; do not assume changing a local PDF updates a transmitted record.

What should the finance team tell the customer?

Explain that the invoice can describe the genuine service period and include an appropriate purchase-order reference, while the issue history remains accurate. Ask the customer to identify any specific discrepancy requiring correction. Escalate pressure to create an inaccurate record to the responsible finance officer.

Retain the request and the agreed response. A short written explanation attached to the accounting file is more useful at year end than an unexplained replacement invoice with a misleading date.
