The XBRL Preparation File Names the Wrong Group Company: Check Entity and Scope

Calculator, pen and paper on a desk

When an XBRL workbook is reused across group companies, verify the reporting entity and scope before working on the figures. A correct-looking total can still belong to the wrong company or consolidated group.

Start with the company UEN and authorised statements, not the filename alone.

Check the identity fields and source documents

Compare company name, UEN, financial period and relevant statement titles. Establish whether each set is standalone or consolidated and whether the entity has the relevant filing requirement.

Review ACRA’s filing requirements against the actual company. A group-level instruction should not substitute for an entity-specific assessment.

Example: the subsidiary receives the parent’s workbook

The preparer receives a file containing the parent’s consolidated figures under the subsidiary’s folder. Stop and reconcile the source. Renaming the workbook does not convert group accounts into subsidiary accounts.

Create a source-control cover sheet

Put the information at the front of the working file. Cross-check it again after importing data from another source.

Review copied narrative fields

Look beyond the primary numbers. Company details, business descriptions, audit information and other text can remain from the previous entity.

Ask the accountant to explain any uncertainty about group scope or exemptions. Do not infer an exemption simply because another group company had one.

Confirm the final submission instruction

The reviewer should compare the completed file with the correct authorised statements. Keep the outcome associated with the right UEN and reporting period.

If a wrong-entity file was already submitted, preserve the original and seek the proper correction route. Replacing an internal file is not an official correction.

Is the folder name enough to identify the reporting entity?

No. Check the official and financial-statement details.

Can parent figures be used merely because the subsidiary is wholly owned?

Assess the actual reporting scope and requirements.
